Workarounds as Clues

Source note for Friction Mapping -- Understanding Work Before Recommending Solutions: Workarounds as Clues.

Workarounds are not automatically bad.

They may be the reason the work still works.

What Workarounds May Show

Workarounds may show:

  • what the official process misses
  • what the system cannot do
  • what staff actually need
  • where business reality changed
  • where a temporary fix became permanent

Example

A monthly spreadsheet reconciliation was created years ago because two systems did not sync reliably. The sync issue was later fixed, but the spreadsheet stayed in the process. Staff now spend hours maintaining a workaround that may no longer be needed.

Why This Matters

A workaround should not be removed just because it is unofficial.

First ask what job it performs. Then ask whether that job is still needed, whether it should be handled differently, and what would break if the workaround disappeared.
